The challenge in hospitals and nursing care facilities: Delivering knowledge flexibly while ensuring legal compliance

Germany’s largest Christian faith-based healthcare group faces a constant challenge: It has to provide employees at approximately 100 facilities with legally compliant, up-to-date, and easy to understand training on the strict quality and hygiene standards it’s bound to. But time and resources are in short supply during the workday at these hospitals and nursing facilities. Training content therefore has to be easy to update, reach employees reliably, and integrate flexibly into their work at its clinics and nursing facilities. Digital training lays the foundation for this. Using the Knowledgeworker Create authoring tool enables AGAPLESION to draw on close collaboration between HR and subject matter experts to quickly translate valuable knowledge from the fields of medicine and nursing into high-quality digital training courses.

  • 30 active authors: Subject matter experts in medicine, nursing, and administration can now develop courses at their institutions independently.
  • Over 40 practical eLearning courses: The decentralized network has quickly developed a wide range of training materials.
  • Managing 123 nationalities: Simple language and multilingual course versions make the learning content easy for the entire international team to understand.
  • Complete flexibility during the workday: Employees can access the responsive courses directly on their ward PC, tablets, or smartphones.

Who is AGAPLESION?

AGAPLESION gAG is a modern, Germany-wide healthcare group with approximately 100 medical and nursing facilities at over 120 locations. More than 22,000 employees care for its patients every day. The target groups for its digital training content range from physicians to laboratory and nursing staff, trainees, and international professionals.

Challenges

High time pressure and siloed knowledge

Quality guidelines, hygiene standards, and new regulations require ongoing documentation and updates. AGAPLESION gAG’s personnel development team was facing three major challenges:

  • Central bottleneck: A small core HR team was responsible for developing and maintaining specific content for a wide variety of job categories in isolation.
  • Rigid creation processes: PowerPoint-style slide-based production required a lot of manual work in terms of design, post-production, and proofreading.
  • Hidden synergies: Knowledge often remained confined to one area. In some cases, institutions created duplicate training courses on identical topics because there was no overarching system for reusing content.

The solution

Empowering subject matter experts and sharing knowledge

With the introduction of the Knowledgeworker Create authoring tool, AGAPLESION shifted content creation to where the subject matter expertise really lies: With the experts themselves. The personnel development team still provides strategic and didactic support throughout the process.

  • Structured collaboration: The authoring tool precisely controls access rights. Authors work in secure areas but can share completed learning modules across locations.
  • AI assistance with creating accessible courses written in plain language: With the KI-KAI AI assistant, authors can create accessible learning content without any extra effort. With a single click, they can convert complex medical texts into plain language. This breaks down barriers for international teams and ensures quick comprehension of the text. The subject matter experts then review the content for technical accuracy.
  • Automatic responsivity: As the teams may be working directly with patients, on the ward, or in the lab, the learning content adapts flexibly to the devices they have access to—whether it’s a ward PC, a tablet, or a smartphone that’s always within reach throughout the day.

The result

Improved usability and noticeable time savings

The structured distribution of tasks lightens the load on staff across the entire company:

  • Faster learning pace: The courses don’t use rigid 80-slide presentations. Intuitive menu navigation and adaptive structures significantly reduce the time learners spend working through content.
  • Central updates: Authors now only have to make important changes in one place. Knowledgeworker Create immediately updates any other courses linked to the respective module in the background. This eliminates tedious duplicate efforts and significantly reduces the amount of daily maintenance required.
  • Higher training quality: Content creation within the authoring tool is simple, intuitive, and requires no programming knowledge, allowing authors to focus entirely on the clarity and cohesion of their content.
